This Service Cancellation and Refund Policy (“Policy”) applies to accounting, bookkeeping and tax services provided by itbalance to its clients. It is intended to be read together with your specific engagement letter, proposal or agreement with itbalance. In case of any conflict, your signed engagement letter or written agreement will prevail.
itbalance provides professional accounting, bookkeeping and tax services. These services typically involve time-based work, professional expertise, review and preparation of documents and filings that are often tailored specifically to you or your business.
Because of this, many services are not fully refundable once substantial work has been performed.
Before starting work, itbalance will usually provide:
A description of the services to be provided.
The applicable fees and billing method (fixed fee, monthly package, hourly rate, or a combination).
Any retainer or upfront payment requirements.
By agreeing to the engagement and providing the required information or payment, you authorize itbalance to begin the work described.
For recurring monthly services (such as ongoing bookkeeping, monthly support or packages):
You may cancel future months of service by providing written notice (for example, by email) at least 30 days before the start of the next billing period, unless a different notice period is specified in your engagement letter.
Services already performed in the current billing period remain payable and are not refundable.
If you have paid in advance for a period beyond the cancellation notice (for example, several months ahead), we will review the unperformed portion and handle any potential refund in accordance with Section 4 of this Policy.
For one-time services (such as tax returns, clean-up bookkeeping, incorporation or special projects):
You may request cancellation in writing before we begin substantial work.
If no substantial work has started, we may issue a partial or full refund of any upfront fees, subject to reasonable administrative charges.
If substantial work has already started (for example, analysis of your documents, preparation of tax returns or financial statements), we may retain all or part of the fees to cover the work performed up to the time of cancellation.
Refunds, when applicable, are based on:
The type of service.
The stage of completion at the time of your cancellation request.
The extent of work performed and resources allocated.
itbalance is not obligated to provide refunds for professional time already spent, completed deliverables or filings submitted on your behalf.
If you have paid an upfront fee or retainer:
Any portion of the retainer that is not used for services and reasonable costs may be refundable.
Any portion used for completed or in-progress work is not refundable.
We will provide you with a breakdown on request, showing how the retainer was applied.
Any amounts paid to government agencies (for example, filing fees) or third-party service providers on your behalf are not refundable. These fees are separate from our professional fees.
In order for us to perform our services on time and correctly, you must:
Provide complete, accurate and timely information and documents.
Respond to our requests for additional information without undue delay.
Review drafts, returns and other documents when requested, and notify us of any errors or omissions.
Failure to cooperate or provide necessary information may delay or prevent completion of the work. Such delays or failures do not entitle you to a refund for services already provided.
If you request changes to the scope of services after work has started, additional fees may apply. We will discuss any significant changes with you and confirm revised fees before proceeding.
If you decline the revised scope and choose to cancel, Section 3 and 4 of this Policy will apply to any work already completed.
If you are dissatisfied with our services, please contact us as soon as possible so that we can address your concerns. We may:
Clarify the work performed and the basis of our fees.
Correct any errors within a reasonable time, where feasible.
Discuss possible goodwill adjustments on a case-by-case basis.
Any refunds or adjustments made due to dissatisfaction are at the sole discretion of itbalance and do not constitute an admission of error or liability.
You remain responsible for providing documents and information in sufficient time to meet filing deadlines. itbalance cannot be held responsible for penalties or interest charged by tax authorities where:
Information was provided late, incomplete or incorrect.
You did not approve returns or filings in time for submission.
You failed to follow our advice or instructions.
Our liability, if any, will be limited as set out in our engagement letter and applicable law.
